As the CMP Administrator, you will play a vital role in leading the administrative systems and functions of our Canadian Ministry Projects department. You will be instrumental in ensuring the efficiency and effectiveness of our processes, supporting our teams, and contributing to the overall impact of our ministry. This position offers a unique opportunity to combine your organizational skills with your compassionate heart, directly impacting the lives of those we serve in Canada. As an integral member of the Canadian Ministry Projects department, this role will help SPC carry out its mission and objectives through participation in the daily prayer ministry.
The successful candidate will fulfill a full-time contract position until June 2027. This position includes benefits of life insurance, medical/dental and short-term/long-term disability, RRSP contributions after one year of employment, and 15 vacation days per year to start.
Key responsibilities include but are not limited to:
- Owning administrative functions for the CMP department including, preparing communications, responding to inquiries, intra-office routing, scheduling, meeting minutes, and assisting with travel preparations.
- Organizing the design, implementation, and continuous improvement of core systems and technologies for ministry functions, supporting all CMP departments (Rapid Response Team, CDR, Volunteer & Church Relations, Recovery).
- Developing, maintaining, and communicating up-to-date process documentation, standard operating procedures, and knowledge resources for CMP teams, ensuring consistency and continuity of ministry operations.
- Serving as the primary point of contact for CMP staff regarding questions and issues related to systems, processes, and administrative and financial reporting tools, equipping teams with appropriate tools for effective operations.
- Ensuring compliance and execution of CMP financial processes relating to vendors, expenses and project spending against budget.
- Verifying completeness, accuracy, and compliance of all reports, requests, authorizations, and financial paperwork prior to circulation for approval or submission to Finance Department.
- Providing administrative support for accurate record-keeping related to CMP assets and inventory in a manner compliant with internal controls.
- Collaborating across departments to streamline workflows, improve data flow, timely tracking of ministry budgets and project spending, strengthening coordination between CMP teams and supporting departments (e.g., Finance, HR, IT, Communications).
- Monitoring system usage, data quality, and compliance with internal controls for Canadian Ministry systems and databases (including CRM and other platforms), recommending and implementing corrective actions where needed.
- During activations, acting as an Information Coordinator to Canadian Disaster Response and related ministries, including situation reporting, deployment tracking, and coordination of information needed for leadership decision-making.
Qualifications:
- Qualified applicants should be committed to Christian values and precepts and be in agreement with the Samaritan’s Purse Statement of Faith.
- Undergraduate degree in Business Administration or a related field.
- 2-3 years of experience in an administrative role.
- Disaster response experience is an asset.
- Demonstrated experience leading or managing CRM systems, processes, or administrative functions including report generation and data quality management, in a ministry, non-profit, or comparable organizational context.
- Proven ability to analyze workflows and data, identify opportunities for improvement, and implement practical solutions that enhance efficiency and effectiveness.
- Detail oriented, thorough, and accurate.
- Proficient in bookkeeping methods and proper internal control practices.
- Ability to maintain confidentiality of records and information.
- Ability to coordinate and multi-task.
- Able to work independently with little supervision, within a team environment.
- Proven writing and editing capabilities.
